WordCamp Auckland 2017 budget

Organising a conference is not simple. There’s a lot of small details that need to be put together before the event. As you can imagine there’s a lot of costs involved including food, venue, videographer even water bottles or even napkins.

WordCamps are made by the community for the community. They are very cheap events to make it affordable for everyone. All of it is possible because of our amazing sponsors that helped with funding the whole conference.

WordCamps are Open Source too, we are open about all spendings and earnings so below is the budget summary of WordCamp Auckland 2017.

A few key elements to note:

  • The ticket price for 2 days event, including food, was $50 (or $150 as community sponsor). The cost per person for the conference was $183.45  or $91.73 per day. As you can see, the cost of the ticket covered about 30% of the cost per person.
  • The conference is organised by amazing volunteers which mean there’s no labour cost. Each of the person involved including organisers devotes hundreds of hours of their own, free time, to make the conference affordable and cheap
  • Total cost of WordCamp Auckland 2017 for 87 attendees was $15,960.28

There’s $993.22 left from the budget, where does it go to?

WordCamps are organised by volunteers and overseen by WordPress Foundation. They appear all over the world and as you can expect, some of them have leftovers money, some of them run out of the money. All of the funds collected by WordCamp Auckland 2017 organisers went to WordPress Foundation itself that paid the bills. Anything left goes to the fund to help to pay the bills for WordCamps in the area that didn’t manage to cover the cost of the conference. This way we can make sure that all WordCamps will be affordable and really cheap.

Can I organise WordCamp or WordPress meetup?

Yes! We encourage anyone to join our New Zealand WordPress community. We have a strong community in Auckland and growing community in Wellington. We would be delighted to see more volunteers in these areas and in other cities (yes we’re thinking about you Christchurch).
WordCamps are usually organised once a year in each country. We’re during very early stages of thinking/planning about WordCamp New Zealand 2018 (city TBA). If you’d like to help to organise please get in touch!

Videos

We have recorded all videos – there is a fair amount of post-editing work required as we manually cut in speaker slides, this might take a month or so. But we will do an announcement post / email when they are available.

Budget

You might have heard us say the budget will be released online – in a continued effort from all participating WordCamp’s (we first saw this at WCSydney, so props them!) we will be releasing the budget once we paid our last few vendors. Expect this be the end of the month.

A quick ooopps

In the last minute rush we’d forgotten to put our community sponsors on the website, combined with a rush of projector issues in our closing remarks timeslot – we also weren’t able to showcase them there either.

What is a WordCamp?

WordCamp’s are an annual gathering of the wider WordPress community and this year we’ve got speakers and attendees coming from as far as USA, Australia and Wellington.

Why attend?

This really is a chance to meet some of excellent WordPress community members – experience what else WordPress can unlock and be apart of the community. WordPress is more than a web platform, it is a collection of awesome people, using and building WordPress to raise the experience for everyone!

Chances are – you’ll be sitting right next to the next speaker, so introduce yourself to everyone and anyone, make new friends and you might learn a little something awesome.

WordCamp Auckland in a nutshell!

We’ve been feverishly planning all the things to WCAKL and are just so happy with how things are turning out. Here’s a summary of the last minute jobs we’ve been working on this week:

  • Confirming all the things.
  • Locked in schedule.
  • Signed for about 50KG of swag deliveries!
  • Rallying our volunteer crew! Y’all are amazing!
  • Running last minute Advertising on FB/ Linked in
  • Printing lanyards : seriously, props to Dan Matthews our unofficial, but totally amazing designer!
  • Wrangling copy, content and all the things we aren’t so savvy with!

It really takes a team to run a WordPress, huge props to our organiser team Ralf Klis, Tarei King, Dan Matthews and special guests Dee Teal and Jason Kemp for the huge commitment put in!

Huge props to all our volunteers and the people who volunteered to help out! The WordPress community in Auckland, although small – is full of people willing to lend a hand!

Call for panel topics and questions

WordCamp Auckland is happening this weekend (need tickets?) and on Saturday 11 march we’ve got a Panel Discussion. However, we need your help in coming up with a core discussion topic.

Additionally, we will be asking the panel your questions – so get them in early to ensure we have everything lined up perfectly.

Our panel isn’t selected yet, but we will be asking from a selection of our speakers whether they would like to be apart of our panel and share their opinions. So if your question is better suited for a particular speaker – let us know who that is.

Dan Matthews from Design Cabin has been creating amazing designs for WCAKL. We’ve seen so many great designs from website, identity and wapuu, but the latest designs are exciting – T-shirts! If you see him at WCAKL – give him some massive props, he’s also a freelance designer if your project needs one!

We haven’t yet confirmed whether t-shirts are 100% budgeted for – we need more ticket sales and more sponsors, but if we can wrangle another $5,000 in combined sponsorship and ticket sales, we will have these amazing t-shirts available to all attendees, speakers, sponsors and volunteers (who have their information to use before the 1st of march).

But, if we don’t have your ticket + a t-shirt size confirmed, we won’t be able to promise you’ll have a t-shirt on the day, so get in quick!

Now, we can’t confirm whether this is the t-shirt design or not for this year’s #WCAKL event.. so you’ll just have to GET YOUR TICKET and find out on the day.

Why the 1st of march? Well – printers have to print. So all the t-shirt sizes we have by march first, will be printed. No promises after that.

Want to attend WordCamp Auckland 2017?

The organiser team is busy setting tables, herding vendors, gathering sponsors and speakers and designing the site.

But you might be asking .. Where can I get a my ticket? – well, the answer is: Soon. We will announce the ticket sales once we’ve ironed out a few more details, but here are some quick details so you’re in the loop:

  • Approximately $50 + GST per ticket.
  • Community sponsor tickets will be available: These are tickets that are a little more expensive, but helps us fund the WordCamp (and you get a sweet mention as a micro-sponsor).
  • Attendance for 2 days of WordCamp (March 11-12), including lunch and social after-party (more details to come).
  • Tickets will be available to purchase on this website.
  • WordCamp will be held at GRIDAKL, Wynyard Quarter – Auckland.
  • Our code of conduct is available here.

You’ll meet some awesome people from all over the WordPress community – but, tickets are limited to 100 attendees. Best to get in early. Sign-up to the newsletter on the right and we will keep you updated!
